The whole clinic day, on one system
ClinicWorks books and checks in your patients, gives every doctor a live queue and a structured medical record, bills cash and insurance under your own contracts, and closes the cashier’s shift against counted cash.

How a visit runs
One record, from the booking to the bill
Each screen hands the patient to the next. Nothing is typed twice, and everyone sees the same visit at the same moment.
- 1
Bookings
Booked
By appointment or first come, first served — each doctor’s clinic chooses. Confirmations, walk-ins and no-shows are recorded with who and when.
- 2
Front Desk
Arrived and billed
Arrive, then invoice under the patient’s contract: the price, the patient’s share and the company’s share are worked out line by line.
- 3
Doctor Workspace
Sent in
Send to doctor puts the patient in the doctor’s live queue with a chime, and calls them on the waiting-room screen.
- 4
Medical record
Seen
The doctor works through the visit: history, vitals, diagnosis, orders, prescription, plan. Orders reach the front desk to be billed.
- 5
Review & sign
Signed
Signing the visit completes the booking at the desk too. The visit stays editable until its episode ends, every change stamped.
- 6
Shifts
Settled
The cashier counts each payment method against what the system expects, closes the shift and hands it to the person who receives it.
For doctors
A medical record that keeps up with the consultation
A visit is nine steps, and only the chief complaint is required. Allergies, problems, medications and the latest vitals stay beside you while you write.
- Quick fill from the patient’s last visits and from your own favourites, and a microphone on every field for dictation.
- ICD-10 diagnoses, orders in one click and prescriptions in one tap — with the dose you usually give already filled in, or typed as 1x3x5.
- Prescriptions, lab and radiology requests, referral letters and medical reports print as PDFs, in Arabic or English — and a prescription can go to the patient’s WhatsApp as a link.
- Every medical report carries a QR code that anyone can scan to check the clinic really issued it.
- Photograph a patient’s results with your phone straight into the visit — no sign-in on the phone.
- A live queue that chimes when the desk sends a patient in, and a Call staff button that rings at the desk.
For the front desk
A front desk that always knows who’s next
The day board moves each patient through Arrive, Invoice, Send to doctor and Complete. Every change reaches the doctor, the other desks and the waiting-room screen as it happens.
- Five calendar views — day, week, month, and two by speciality — for appointment days and first-come, first-served days.
- Walk-ins, confirmations, reschedules, blocked slots and no-shows, each recorded with who did it and when.
- The nearest free appointment over the coming months, and which other doctors in the branch can see the patient today.
- A waiting-room screen that calls each patient in by name, on screen and out loud.
- Vitals taken at the desk arrive in the doctor’s visit before it starts.
- WhatsApp reminders for unconfirmed bookings: one click opens each chat, from your own WhatsApp, with the message written.
Outreach
Know who to call today, and why
Outreach puts everyone the clinic should contact on one call list: follow-ups nobody booked, missed appointments, recalls that are due, unpaid balances, low feedback scores. The desk takes a task, messages or calls, and logs how it went in one tap.
- Automatic tasks, each with its own switch: follow-up not booked, missed appointment, unpaid balance, stopped coming, recall, birthday and low feedback score.
- WhatsApp opens from your clinic’s own WhatsApp with the message already written, from templates you edit in Arabic and English. A person always presses Send.
- Every call, message and visit on one contact timeline per patient, with their language, preferred channel and consent.
- Feedback after the visit: the patient scores it from 0 to 10 on a page with your logo, and a low score becomes a task.
- Leads, from the first question to a booked patient.
- Tags and saved lists — no visit in six months, birthdays this week — always up to date, exported to a spreadsheet, or put on the call list in one go.
For billing and insurance
Insurance billing that’s right at the desk, not fixed at month end
Your contracts, tariffs and coverage rules price every line as it’s invoiced: the patient’s share, the company’s share, and what needs the insurer’s approval first.
- Credit, cash and cash-discount contracts, with periods, classes, policy numbers and a patient share per speciality.
- Pre-approval requests followed to the insurer’s answer, with the approval letter attached to the patient.
- Split payments, pay later, packages and patient credit balances.
- Refunds paid out only after approval, from an open shift.
- Cashier shifts that close against counted cash, method by method, and are handed over to someone else.
- Statements to each insurer by period, approved medically and financially, printed as PDF.
For owners and managers
See how the branch is doing — today, and over any period
The home page shows today’s visits, arrivals, no-shows, waits and money as they happen, and what needs someone’s attention. Below it, the clinic over any period, against the period before.
- Visits, billed, collected, no-show rate and average wait — each compared with the period before.
- When the branch is busiest by weekday and hour, and how full each doctor’s schedule is.
- Figures by doctor, the payment mix, and what the insurers still hold.
- Patients & care: new and returning patients, where they came from, who they are and whether they come back when asked — without naming a single patient.
Dental
A dental chart and treatment plan in the same record
A dental visit gets its own Teeth & treatment step: an FDI chart where one tap records a finding, and a treatment plan priced under the patient’s contract.
- Findings and existing work on each tooth and surface, for permanent, mixed or primary teeth.
- Planned work in numbered sessions — marking an item done sends it to the desk to bill.
- A printed estimate in Arabic or English, with the patient’s share.
- Other doctors read the patient’s dental record from the chart.

Arabic and English
Built in two languages, not translated into one
Every screen works in Arabic, right to left, and in English, and each person picks their own. The papers a patient takes home print in the language they read.
- Prescription directions print in Arabic or English; referral letters and medical reports pick their language by who will read them.
- Each country’s national medicine list — Egypt and Saudi Arabia — searched together with your clinic’s own.
- ICD-10 from the WHO’s own release, found by code or by words.
- Numbers typed on an Arabic keyboard are read as numbers.
Trust
Your clinic’s data, kept the way a clinic would keep it
Your own address
Each clinic group signs in at its own web address, and its data is kept apart from every other clinic’s.
Files stored in Frankfurt
Uploads go straight from the browser to AWS storage in the EU (Frankfurt), through links that expire.
Signed, then locked
A visit is signed by its doctor. Changes after signing are stamped, and once the episode ends the visit is locked — anything later is a dated addendum.
Reports that can be checked
Every issued medical report carries a QR code. Scanning it confirms the clinic issued it, and never shows anything medical.
Sessions that end
Sign-ins expire, and end with the browser unless someone chooses Remember me. New staff replace a one-time password the first time they sign in.
Who did what, and when
Bookings, confirmations, cancellations, no-shows, refunds and shifts each record who did them and when.

Before you ask
Yes. Every screen works in Arabic, right to left, and in English, and each person picks their own language. Prescriptions, referral letters, medical reports and dental estimates print in either. ICD-10 titles and medicine names stay in Latin script, as they’re published.
Yes. You set up customer groups, customers, policy numbers, tariffs and contracts with their periods. Invoicing applies them line by line — the coverage, the patient’s share, the company’s share, and whether a pre-approval is needed — and statements go to each insurer by period.
Yes. A clinic group has branches, each with its rooms; a doctor’s clinic is a doctor in a room, and a doctor can work in more than one branch. Staff choose their branch when they sign in. The home dashboard reports on one branch at a time.
The medical record works for any outpatient specialty. Dental visits get their own step, with an FDI dental chart and a treatment plan. More specialty modules are planned.
Patients and staff can be imported from Excel templates, and so can your medicine list and setup lists like jobs and payment methods. Rows that need fixing are listed; the rest is saved.
Each clinic group has its own web address, and its data is kept apart from other clinics’. Uploaded files are stored on AWS in the EU (Frankfurt).
No. ClinicWorks runs in the browser, on computers, tablets and phones. The waiting-room screen is a page on any screen with a browser.
Yes, on WhatsApp, from your clinic’s own WhatsApp. The day board counts the bookings nobody has confirmed, and one click opens each patient’s chat with the reminder already written, in Arabic or English. The receptionist presses Send, and confirms the booking when the patient replies. Nothing is sent without a person, and there’s no SMS.
Yes — Outreach puts the calls that are due on the branch’s call list by itself: follow-ups nobody booked, missed appointments, recalls, unpaid balances, low feedback scores. The desk works through them by phone or WhatsApp and logs each contact. It adds tasks; it never messages patients on its own.
There’s a 14-day free trial: sign your organization up yourself, with no card, and it’s ready about a minute after you confirm your email. Pricing and a live demo are coming soon — meanwhile, book a demo and we’ll walk you through the product on a call.
